Filtering Report Contents with Excel

Activating the Excel AutoFilter Tool

Microsoft Excel contains a powerful tool that makes it possible to quickly and easily find stocks that have all the performance criteria that you desire. This tool is called the AutoFilter. With the AutoFilter and the data from our Reports, it is possible to quickly and easily search for stocks that have characteristics specific to your investments needs. Whether your investment criteria is as simple as finding stocks with SmartSelect marks of 80+/80+/A/A or as sophisticated to where each data item must meet a specific benchmark, the AutoFilter is an excellent tool.

When the Excel export icon is activated from a Report window, data from the Report will be exported to your Excel program in a format similar to the illustration below:

To begin using the AutoFilter tool with data exported from a Daily Graphs Online Report, use the following guidelines:

  • With the mouse cursor, click the gray row button that corresponds with the row of dotted lines (in the example below, the row number 6 button);
  • From the menu bar (top of the Excel program), click Data, move the cursor to Filter, then click AutoFilter.

Filtering Report Contents

Once the AutoFilter tool is activated, the next step is to select your filtering parameters (performance criteria). Select a data column to filter and then click on the silver drop-down menu button. This will provide you with four options for filtering:

"ALL" FILTER OPTION

Select the ALL option to display all data in a column. This is the default setting. This option is useful for reversing a previous filtering action. Simply click on "ALL" and data that was previous filtered out will return to its initial state.

"TOP 10" FILTER OPTION

Selecting this option will open a TOP 10 AutoFilter Window (picture below). If there are more than 10 identical data items that make up the top data item, all such data items will appear (the list will include more than ten items in this case).

Note: This feature is valid for numeric values only.

This window provides the following options when filtering:

  • Top or Bottom group of data;
  • Change filter from default of 10 to any number between 1 and 500;
  • Items or Percentage as basis for grouping.

Note: This option will not function when there are less the number of unique data values than the number selected in the parameter setting (middle-column window).

"CUSTOM" FILTER OPTION

Select the CUSTOM option when it is desirable to have more control over the filtering of stocks. This option allows "less than" or "greater than" equations, as well as other related variations when filtering data. Simply click on the drop-down menu button in the left-hand column to view all options.

For example, if you would like to filter a Report to find all stocks with an EPS Rating "equal to or greater than 80", you will need to:

  • Click the left field button and select "is greater than or equal to";
  • Click the right field button and select "80" or simply type in this number;
  • Complete this task by clicking the OK button.

Please note this feature provides the option to use two parameters on a single column filter through the use of the "And" "Or" statements. This is useful for filtering data items that have a letter rating such as SMR Rating or Accumulation/Distribution Rating.

For example, if you would like to find stocks that have an SMR Rating of either "A" or "B":

  • Select "is equal to" in the top-left field;
  • Select or type "A" in the top-right field;
  • Select the "Or" option;
  • Select "is equal to" in the bottom-left field;
  • Select or type "B" in the top-right field;
  • Complete this task by clicking the OK button.

If your search parameter on a letter data field includes ratings of "A", "B" or "C", use the following guidelines:

  • Select "does not contain" in the top-left field;
  • Select or type "E" in the top-right field;
  • Select the "And" option;
  • Select "does not contain" in the bottom-left field;
  • Select or type "D" in the top-right field;
  • Complete this task by clicking the OK button.

ITEMS IN COLUMN FILTER OPTION

When the drop-down menu button is selected, the menu that opens will contain one of every item in the data column. To filter data with a single value (this includes data notes as numbers, letter ratings, or as words), simply click on that value in the drop-down menu to complete the filter for that data item.

The report data may be restored to its original state by deactivating the AutoFilter tool.
(click Data | Filter | AutoFilter -- removing the checkmark).

Importing the Contents of an Excel Spreadsheet as a Stock List
